What TravelPal reads from Booking Experts
Booking Experts is the system behind holiday parks, campsites, and bungalow parks in the Netherlands and across Europe, usually organizations with several parks renting lodges, chalets, and pitches by type rather than by unit number.
Rentable types become properties
Booking Experts separates the type a guest books from the unit underneath it, and states plainly that the exact rentable is hidden from the guest. So TravelPal imports the rentable type: address, coordinates, description, extra house rules, capacity, and the check-in and check-out timetables. That becomes the corpus the concierge answers from, taken in English where your park has filled that translation in and in Dutch where it has not.
Reservations, and every change to one
Booking Experts announces a reservation when it is created, confirmed, moved, canceled, checked in, checked out, and when its license plates change. Those announcements carry no delivery reference and are repeated until they are acknowledged, so TravelPal ignores a repeat of something it has already handled, and it re-reads recently changed reservations on its own schedule in case one never arrived at all.
Twenty-one states, and which ones mean a guest
Booking Experts spells out twenty-one reservation states, from concept and option up to confirmed. TravelPal treats confirmed and imported reservations as a guest who is coming, so a park that migrated an existing season into Booking Experts is covered from the first day, and it leaves concepts and options alone until they firm up.
The customer who books again
The booker is a Customer record Booking Experts reuses for their next booking, so a family that returns every August is recognized from your own system rather than pieced back together from a name. The locale on that record is written with its region, nl-BE or de-AT, and TravelPal reads the language out of it, so a Flemish family is answered in Dutch and an Austrian one in German.
Extras on the order, never the rent
TravelPal reads the extra order items on a reservation, the things your park sells on top of the stay, and each one carries your own SKU rather than a typed description, so a line is recognized by what it is instead of by how somebody worded it. The rent, the tourist tax, and the cleaning fee stay out of that list: they are the booking itself, and counting them would inflate what the concierge is credited with selling. A reservation breaks its party into seniors, adults, adolescents, children, babies, and pets, so an extra your park prices per person is priced on the people and not the pets.
The door code never leaves Booking Experts
Every reservation here carries a generated numeric access code and a token that opens that guest's own portal. TravelPal drops both on the way in and stores neither, so the credentials to your park do not end up living in a second system. A park that wants the code sent puts it in its own template: the access code is Booking Experts' own worked example of a template variable.

One template, carrying the answer
Your park defines a single message template whose body is one custom variable. TravelPal writes the answer into that variable and posts it against the reservation, and Booking Experts delivers it to the customer on the booking by email or SMS. The template is configured once and then carries every message, so the wrapper around each reply stays your park's own.
Memos the guest never sees
A memo sits on the reservation page in your back office and is never delivered to anybody. That is where a sale, a question the concierge is holding for a person, and anything your quiet hours held overnight all land, against the booking they concern rather than in a tool your team has to remember to open.
A later departure on direct bookings
The Booking Experts reservation update accepts the departure date, so an extra night bought on a direct booking becomes a real date change on the booking your park works from. Direct means a channel your park has marked as behaving as its own site: a reseller's booking is left alone. An owner staying in their own accommodation is flagged as the owner by Booking Experts and is not handled as a paying guest either. If the unit or the allotment is taken, Booking Experts answers that the dates are occupied and TravelPal leaves the refusal standing.
A field on the booking itself
TravelPal writes one key into the reservation's custom fields, so a sold late checkout or a confirmed arrival shows on the booking your front desk and your housekeeping list already read. Booking Experts keeps those fields as a list, so TravelPal reads the list first and writes it back with everything your team put there still in it.

Ask Booking Experts for the app
Booking Experts issues API access only to apps created in their App Store, so this starts with one email to your account manager. For your own organization it is a private app, which needs the basic information and a note when it is finished. We supply the app details and the permission list, and every permission on that list has to be granted: a read that touches one the app does not hold is refused outright rather than coming back with a field missing.
Install it and copy the key
Booking Experts shows your organization a single API key once the app is installed on it. Paste that into TravelPal along with the secret for the same app. The secret is what each update from Booking Experts is checked against, and an update that does not match it is turned away instead of acted on.
Define the message template
In the app specification, create one message template whose body is a single custom variable, then give TravelPal the template identifier and the variable name. Tell us whether that template goes out by email or SMS: Booking Experts takes the transport from the template's own setup and the API neither asks for it nor reports it, so it is a label we record from you rather than one we can read.
Name the parks and confirm the clock
Administration ids are plain integers inside your account, so list the parks to sync, for example 7,8, or leave it blank for every park the subscription can see. Booking Experts records a park's time zone as a city label such as Amsterdam rather than a full zone, so we confirm it with you: quiet hours and upsell cutoffs are computed from it. A demo organization is available from Booking Experts on request if you want to watch a whole stay run before it touches live bookings.

What the Booking Experts connection will not do
Every property management system draws its own lines, and the ones Booking Experts draws are worth knowing before you switch anything on. TravelPal works inside them rather than around them.
Booking Experts carries messages out, not in
There is no guest inbox in Booking Experts and no event when a guest answers, so a reply to that email or SMS arrives in your park's own inbox instead of reaching TravelPal. Every message TravelPal sends therefore hands the guest a private link for their stay, and the back and forth happens there, at any hour. It is the first thing to plan around on this system.
Guest messages travel inside a template you own
Booking Experts has no free-text guest send, so every answer reaches a guest as a variable inside a template your park defined. Two things follow. The concierge stays silent until that template exists and TravelPal has its identifier, because a guessed identifier posts to a template that is not there. And the transport, email or SMS, is read off the template itself, so it is settled once for every message rather than picked for an urgent one. The words inside the variable are still written fresh for that guest, in their language.
No availability is read and no night is blocked
TravelPal does not quote availability out of your Booking Experts agenda and never writes a block into it. The last date of an agenda period can be read as a night or as the morning after, and a wrong reading either offers a night somebody already booked or holds one nobody asked to hold. So a sale that needs a date is put to Booking Experts' own check instead, which turns it down when the unit or the allotment is full.
A bought late checkout is a note, not a new clock
Arrival and departure times come from the timetables on the rentable type, and the times carried on a reservation are the park's policy rather than anything a guest announced. So a late checkout somebody paid for is written as a memo and a custom field on their reservation, which is where housekeeping reads it, instead of as a new departure time. An added night is different: that moves the departure date itself.

Booking Experts integration FAQ
Do I need Booking Experts to turn something on before I can connect?
Yes, and it is one email. Booking Experts issues API access only to apps created in their App Store, so your account manager sets up a private app for your organization, you install it, and Booking Experts then shows you a single API key to paste into TravelPal. The private route needs the basic app information and a note when the app is finished. A public App Store listing is a longer path and is not something you need in order to run TravelPal on your own parks.
Can a guest reply to TravelPal inside Booking Experts?
Not through Booking Experts. It delivers messages to guests and has no inbox or reply event for another system to read, so a reply to your park's email or SMS lands with your own team. Every message TravelPal sends carries a private link for that stay, and the guest's questions are answered there at any hour, with anything uncertain held for your team as a memo on the reservation.
Does one connection cover all of our parks?
Yes. The app is installed on your Booking Experts organization, and you list the administration ids you want synced or leave the list blank for every park the subscription can see. Rentable types and reservations stay attached to the park they belong to, so a lodge at one park is never mistaken for a lodge at another that happens to share its number.
Can TravelPal change a Booking Experts reservation?
Partly. It can move the departure date on a direct booking, which is how an extra night is sold, and it can write a custom field. The arrival date is not something the Booking Experts update accepts, so TravelPal refuses an arrival change outright rather than applying half of one. Bookings that came in through a reseller channel rather than your own site are never rewritten, and an owner staying in their own accommodation is recognized as the owner.
