AI guest messaging for Hostaway

TravelPal connects to Hostaway with the account ID and API key from your own dashboard, then answers guests in the thread they already wrote in, whether that is the channel inbox, email, SMS, or WhatsApp. It reads your listings, reservations, and calendar, sells upgrades at your prices, and writes the time change back onto the reservation.

One connection, running both ways. Every item on it is detailed below.

Sync in

What TravelPal reads from Hostaway

Hostaway is where most property management companies in the 20 to 2,000 unit range land when they are not on Guesty.

Listings become properties

Name, address, photos, amenities, house rules, and your check-in and check-out times arrive from Hostaway and become the corpus the AI answers from. Nothing to re-enter, and a listing edit in Hostaway reaches the concierge on its own.

Reservations arrive as they happen

Hostaway tells TravelPal the moment a reservation is created or changed, and TravelPal sweeps for anything that announcement missed. Every reservation carries the channel it came from, so an Airbnb guest and a direct guest are handled differently from the first message.

The whole thread, not just the newest line

Existing conversations come in with their history, so the concierge picks up a stay mid-conversation instead of asking a guest something your team already answered.

The language the guest writes in

Hostaway carries a guest language on the reservation, so the first reply is already in their language rather than an English message with an apology in it.

Sync out

What TravelPal writes back

Every message goes out through Hostaway, never around it, so your own inbox shows exactly what each guest was told.

Replies on the rail the guest used

Hostaway carries four of them: the channel inbox, email, SMS, and WhatsApp. TravelPal answers on the one the guest wrote in, so an Airbnb guest stays inside Airbnb and a direct guest keeps their own thread.

Sold time changes, on the reservation

A late checkout or early check-in the guest paid for moves the planned departure or arrival time on the Hostaway reservation itself, so your cleaning schedule reads the real time rather than a note somebody has to notice. Teams weighing the two can read the TravelPal and Hostaway AI comparison.

Extra nights on direct bookings

An added night on a direct reservation is a real date change, checked against your Hostaway calendar first. Date changes on channel-owned bookings are refused, and the guest is pointed at the channel's own change flow.

Blocks you can see

Where a sale needs the calendar held, TravelPal writes the block into Hostaway rather than keeping it in a system your team does not look at.

Setup

Connected in four steps

The credentials are yours to create inside Hostaway. TravelPal does the rest itself.

Step 1

Create the key in Hostaway

Settings, then Hostaway API. You get a numeric account ID and an API key. No approval queue and no partner form: the key is yours to make, right now.

Step 2

Paste both into TravelPal

Wrong credentials are rejected on the spot. Hostaway has no daily token budget, unlike Guesty, so a mistyped key costs nothing but a retry.

Step 3

The event feed sets itself up

TravelPal subscribes itself to new reservations and new guest messages. There is nothing to configure inside Hostaway beyond making the key.

Step 4

Listings import in the background

Your listings become properties, and every reservation from then on gets its own private guest link.

The dashboard shows the connection the whole way: connected, last sync, and any error in plain words. The rest of going live is covered in what onboarding involves.

Boundaries

What the Hostaway connection will not do

Every property management system draws its own lines, and the ones Hostaway draws are worth knowing before you switch anything on. TravelPal works inside them rather than around them.

No team-only note inside the guest thread

Every message type Hostaway offers is visible to the guest, so there is nowhere in the thread to put a note meant for your team. TravelPal does not improvise one. Sale notes and anything held for a human go to your team channel and by email instead.

Hostaway does not announce your own team's replies

Hostaway pushes us a guest's message the moment it lands, but it sends nothing when one of your own people answers in the Hostaway inbox. So overlap is prevented deliberately, by your quiet hours and by handing a thread to a person, rather than by the concierge noticing a colleague mid-sentence. Systems that do report their own outbound messages, Hospitable and Uplisting among them, let it notice on its own.

Reservation writes replace, they do not patch

Hostaway's update call takes the whole reservation rather than the one field that changed. TravelPal therefore writes only what a guest actually bought, and refuses anything that would rewrite a field it was not asked to touch.

Returning guests are recognized by the stay, not by a guest ID

Hostaway numbers guests per account rather than issuing one identity that follows a person across bookings, so a returning guest is matched from their own details and history rather than handed to us pre-linked.

Where the AI is not sure, it stops and asks your team rather than guessing. That is the same on every system: see the guardrails.

Questions

Hostaway integration FAQ

Do I need Hostaway's permission to connect TravelPal?

No. You create the API key yourself in your own Hostaway dashboard, under Settings and then Hostaway API, and paste the account ID and key into TravelPal. There is no partner application and no approval queue between you and a working connection.

Will my team still see everything in the Hostaway inbox?

Yes. Every message TravelPal sends goes out through Hostaway, never around it, so the thread in your own inbox shows exactly what each guest was told. Because Hostaway has no team-only message type, sale notes and held questions reach your team in your own channel and by email instead of inside the guest thread.

Which channels does the Hostaway connection cover?

Whatever you run in Hostaway. Airbnb, VRBO, Booking.com, and direct bookings arrive with their reservations, and each guest is answered on the rail they used: the channel inbox, email, SMS, or WhatsApp.

Can TravelPal change a Hostaway reservation?

Yes, for what a guest bought. A paid late checkout or early check-in moves the planned time on the reservation, and an extra night on a direct booking is a real date change validated against your calendar first. Date changes on channel-owned bookings are refused.
