Who we are and what this covers

TravelPal, Inc. ("TravelPal", "we", "us") provides an AI guest messaging and upsell service for vacation rental property management companies. This policy covers three situations: visitors to asktravelpal.com, customers who use the TravelPal service, and guests whose information we process on a customer's behalf.

Information we collect

From visitors to this website:

• Usage data such as pages visited, approximate location from IP address, browser and device type, and referral source, collected through analytics cookies. This site uses Google Analytics.

From customers:

• Account and contact information: name, business email, phone number, and company details.
• Billing information. Payments are handled by third-party payment processors; TravelPal does not store full payment card numbers.
• Configuration and content the customer provides: property knowledge, prices for extras, and settings.

On behalf of customers (service data):

• Guest messages and conversation history from the customer's connected channels.
• Reservation and listing details synced from the customer's property management system, such as guest name, contact details, stay dates, and property information.
• Records of paid extras, such as what was offered, what was purchased, and payment status. Card details themselves stay with the payment processor.

How we use information

• To provide the service: answering guest messages, offering and recording paid extras, and writing results back to the customer's property management system.
• To operate accounts: billing, support, and service communications.
• To secure and improve the service, including diagnosing problems and understanding how the service is used.

We do not sell personal information, and we do not use guest data for advertising.

Our role for guest data

For guest information, TravelPal acts as a service provider processing data on the customer's behalf and under its instructions. The property management company a guest booked with is responsible for that relationship. Guests with questions or requests about their information should contact their property management company; we support our customers in responding to such requests, and customers can read, correct, and delete the property knowledge the service uses at any time.

When we share information

• With service providers that help us run TravelPal, under agreements that limit their use of the data. These include cloud hosting providers, AI model providers that process message content to generate replies, Stripe for payment processing, and analytics providers.
• With Guesty and the booking platforms the customer connects, as directed by the customer's use of the service.
• When required by law, legal process, or to protect the rights, safety, or property of TravelPal, our customers, or the public.
• In a business transaction such as a merger, acquisition, or asset sale, in which case we will provide notice before personal data becomes subject to a different policy.

Retention

We keep personal data for as long as needed to provide the service and meet legal obligations. Service data is retained while the customer's account is active. After a subscription ends, we provide a data export on written request made within thirty days and then delete customer service data from active systems within a reasonable period, except where law requires longer retention.

Security

We use commercially reasonable technical and organizational measures to protect personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data, and to object to or limit certain processing. Customers and site visitors can make these requests at eddy@travelpal.ai, and we will respond as applicable law requires. You can control cookies through your browser settings; the site works without non-essential cookies.

International processing

TravelPal is based in the United States, and data is processed in the United States and in the locations of the service providers described above. Where the law of your location requires safeguards for such transfers, we rely on measures such as contractual protections with our providers.

Children

The service is for businesses, and this site is not directed to children under 13. We do not knowingly collect personal information from children under 13; if you believe a child has provided us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will post changes on this page, update the effective date, and notify customers of material changes before they take effect.
